This policy explains how cancellations, changes, refunds and supplier charges are handled for safaris, trekking trips, day trips and other services booked through Sunset Tours & Safaris.
If you need to cancel your trip, please notify us in writing by email or another agreed written communication method as soon as possible. The effective cancellation date is the date we receive your written notice.
Cancellation charges depend on the services already reserved, the terms imposed by third-party suppliers and the timing of your cancellation. These may include non-refundable or partially refundable costs for accommodation, park or conservation fees, permits, transport, domestic flights, guides, trekking services and other confirmed arrangements.
Your booking confirmation or invoice may contain trip-specific cancellation conditions. Where trip-specific conditions are provided, they form part of your booking and take priority for that reservation.
Any deposit or advance payment may be used to secure services on your behalf. Amounts already paid to suppliers or committed to non-refundable services may not be recoverable after cancellation. Any refund due will be calculated after deducting applicable supplier charges, bank or payment-processing fees and other non-recoverable costs.
We will try to accommodate reasonable requests to change travel dates, route, accommodation, group size or other arrangements. Changes are subject to availability and may result in additional costs or revised supplier terms.
No refund is normally available for services missed because of late arrival, early departure, no-show, voluntary withdrawal from an activity, or a traveller choosing not to use a confirmed service after the trip has started.
We may need to change an itinerary where circumstances outside our reasonable control affect safety, access, availability or the ability to operate the trip as planned. Where possible, we will offer a suitable alternative of comparable value.
If we cancel a service that we are unable to replace, we will explain the options available based on the circumstances and the recoverability of payments already made to suppliers.
Events such as severe weather, natural disasters, road closures, government action, park closures, civil disruption, epidemics, transport disruption, flight changes or other circumstances beyond our reasonable control may require changes or cancellation. Refunds in such cases depend on the terms and recoverability of the affected third-party services.
We strongly recommend comprehensive travel insurance that is suitable for your itinerary and includes trip cancellation, interruption, medical treatment, evacuation, baggage and the activities you plan to undertake, including high-altitude trekking where applicable.
Where a refund is due, it will be processed after we receive and reconcile any recoverable amounts from the relevant suppliers. Bank charges, currency conversion differences and payment-processing charges may affect the final amount received.
